Use the same brief for every proposal
Send the same dates, location and intended display purpose to each supplier. Name the artwork version and proposed format so a change in scope is visible when you compare the answers.
Planning guide
Put each supplier proposal beside the same list of responsibilities. Mark who supplies the product, who approves the artwork and who handles receiving, setup and later service. Ask for written answers wherever a responsibility is unclear.
Prepare an inquiry
Send the same dates, location and intended display purpose to each supplier. Name the artwork version and proposed format so a change in scope is visible when you compare the answers.
For every item, ask both what is included and who does the work. A box of equipment and an arranged setup service describe different responsibilities. Keep an unknown answer marked as unknown until the supplier clarifies it.
Save the final proposal, dated proof and contact details together. Ask how a change in date, location or artwork would be reviewed. Arizona Balloon Company distinguishes sealed helium balloons from continuous-blower products, so confirm the format before comparing operating arrangements.
